Provide management of documentation from creation to retention
Maintain a system of registration, distribution, issue, storage and archiving of project documentation
Address and register all including documentation before it’s received by the recipient, except where specified otherwise.
Issue / distribute documentation as advised
Conduct a check on all documentation passing through document control to ensure documents are to standard and are complete. If not they will be returned to the originator for correction
Ensure that all registered documentation requested to be issued or taken off site are transmitted with a recorded transmittal, email or relevant markings (stamps)
Maintain a controlled storage area for project documentation in both paper and electric formats and control the project documentation within these areas
Maintain registers of all project documentation created or received, and track documentation through its life cycle
Manage the archiving of documentation including the creation of record retention documents in conjunction with the Project Manager and ensure that the documentation is retained, suitably stored, readily retrievable and suitable destroyed at the end of the archiving period
Registration, distribution, storage and record maintenance of all project documentation (documentation inc drawings)
Apply document control procedures and processes
Create hardcopy project filing
Maintain a quality check on documentation
Document security and access (inc security clearance)
Will communicate with the clients, suppliers and staff members within the group of companies.
