Summary Join an established organisation within the maritime sector as an Office Administrator at their Brazil office. This full-time position is perfect for someone highly organised, adaptable and proactive, who enjoys handling a mix of administrative and logistical tasks. In this role, you’ll help keep the office running efficiently whilst supporting crucial offshore operations behind the scenes.
Location and Working Pattern Office-based in São Paulo, Brazil, Full-time, Monday to Friday.

Our client delivers essential services to the maritime industry, with a strong focus on safe and efficient operations worldwide. They are strengthening their team in Brazil to support upcoming operational projects and need reliable support within their onshore office environment.
Responsibilities- Oversee day-to-day office administration, including correspondence, filing and visitor coordination
- Act as first point of contact for general office queries and assist with reception duties
- Prepare, print, scan and organise operational documentation for the team
- Coordinate logistics for personnel and Mooring Masters, including travel, accommodation and local transport arrangements
- Schedule meetings, technical visits and internal training events
- Support office upkeep, courier handling and basic facilities tasks
- Maintain accurate data and records in document control systems
- Assist with procurement tracking for office and minor operational supplies
Must-have Requirements- Secondary education (technical or administrative qualification advantageous)
- Previous experience in administration, logistics or an office-based support role
- Fluency in Portuguese with clear written and verbal communication
- Basic knowledge of Microsoft Office tools (Word, Excel, Outlook)
- Ability to prioritise, stay organised and work within a small-team environment
Nice-to-have Skills- Exposure to maritime, port or logistics industries
- Experience supporting operational or technical teams
