Grangemouth – Min 6 Months
Our client is looking to recruit a highly motivated Administrator with excellent communication skills, to join the Services Team to help set up the administration service for our Terminal business in Grangemouth. This is a temporary role for 6 months and is based on site, for 37.5 hours per week.
The successful candidate will provide comprehensive administrative and system support for c60 staff within the Terminal.
Key Responsibilities:
- Systems support – they must be an advanced user of SharePoint and Microsoft office suite of applications; the role will be required to:
- Support the establishment of SharePoint as the key document management system within the Terminal.
- Act as the initial POC for SharePoint user and access queries.
- Maintain the SharePoint and Intranet site
- Management of coordination of office space, meeting rooms and building logistics.
- Establishing administrative processes.
- Coordination of Terminal service suppliers including supplier management and escalation process for supplier issues. Including but not limited to:
- Stationery
- PPE
- Cleaning and catering
- Waste Management Services
- Welfare facilities and rations.
- Coordination of diaries in support of visits, training, and briefings, which includes the management of invites, room bookings.
- Administration of visits including transport arrangements; inductions; supply of safety clothing; meeting schedules; refreshments.
- Recording and reporting building maintenance issues and fault reporting.
- Meeting room management.
- Production and distribution of daily, weekly and monthly reports as directed by the HR Manager.
- Processing and receipting of invoices and payments in the SAP and Maximo system.
- Organisation, time management and planning skills with strong attention to detail.
- Data Management - competent in managing confidential information ensuring integrity of the systems and appropriate retention mechanisms are in place.
- Must have advanced IT and system skills and be an expert user of SharePoint and the Microsoft office suite of applications.
- Exceptional communication and stakeholder management skills.
- Able to change direction quickly.
