Provide support and assistance to executives that ensure effective use of time and productive interactions with staff and the public. Handle a wide range of administrative and executive support-related tasks involving the clerical, administrative function, research and management roles. Responsible for schedule management, office management, communication liaison, information preparation, company records management, data analysis, and representing the executive to others. Handle extremely confidential information and communications. Full comprehension of company’s operation and procedures. Manage and Lead Business Administration Function, reporting into the Head of Project Management Function. Use discretion and judgement of knowledge of organisation to facilitate the executive’s activities.
You'll be:
Managing and prioritising Management and Leadership Team diaries
Arranging domestic and international business travel and visa’s, where applicable
Arranging external meetings – venue bookings, equipment (Overhead Projectors, white boards, stationery, etc.), food and beverages
Providing expert understanding of systems, processes and tools related to field, assisting others and troubleshoot issues with systems, processes and tools
Assisting with the most complex, confidential and difficult problems
Supervising work of self and others where applicable
Proactively setting priorities related to complex situations having multi-project and/or organisational impact
Involved in guiding and implementing strategies
Providing general ad-hoc support to high level teams
Leading the Business Administration Function, resource management to ensure required resources are in place and downmanning of Project Administration personnel
Responsible for developing, modifying and adhering to procedures and processes to support the business
Carrying out Annual Salary Reviews and processing promotions where applicable
Addressing Business Administration Function performance or absence issues in a timely manner
Conducting regular performance meetings with Business Administration Function
Responsible for the recruitment and personnel transfers of Project Administrators within the Business Administration Function alongside Project Line Managers to select suitable candidate
Coordinating relevant training for the Business Administration Function
Completing other administration tasks specified by Management or Leadership Teams
You'll have:
Demonstratable experience in Administration and Senior roles previously
Appropriate qualifications and training for Senior level Administration, secretarial or similar roles
Excellent knowledge of the company’s HSSE policies and practices
High level of proficiency in preparation of documents, presentations and spreadsheets using Microsoft Office software, including Word, PowerPoint, Excel and Visio
Ability to learn and use other commonly used business applications such as travel booking systems, personnel transfer/promotion systems and R3 Travel track system
Ability to relate to and work with people at all levels in the company
Act as an ambassador for the Corporate Team inside and outside of the company
Excellent time management and priority setting skills to meet the varied demands of the business
Ability to adapt to manage a wide range of work demands from simple to more complicated tasks
