We are looking for an organised and detail-focused Administrator to support our Engineering client in Irvine. The contract will be for 3 months initially, with potential for extension.
 
Key Deliverables:
  • Accurate and up-to-date maintenance of the Purchase Order (PO) register and associated task codes.
  • Timely and accurate raising, receipting and confirmation of material and subcontract purchase orders.
  • Early Warning Reports (EWRs) raised and issued in line with project and commercial procedures.
  • Correct and punctual processing of weekly and monthly timesheets.
  • Monthly applications prepared and submitted accurately to support commercial reporting.
  • SORS, QORs and audit documentation maintained to a high standard and available when required.
  • New starter documentation completed and Fieldglass onboarding processed without delay.
  • Stationery and site supplies ordered and managed to ensure uninterrupted site operations.
  • Consistent administrative support provided to site, project and commercial teams.
  • Ad hoc administrative tasks completed efficiently to support overall project delivery. 

Key Requirements:
  • Proven experience in a Site Administrator or similar administrative role, ideally within a construction, engineering or infrastructure environment.
  • Experience maintaining purchase order registers and raising material and subcontract purchase orders.
  • Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
  • High level of accuracy and attention to detail when handling documentation and data entry.
  • Competent IT skills, including Microsoft Office applications such as Word and Excel.
  • Ability to communicate effectively with site teams, subcontractors and project stakeholders.
  • Proactive, reliable and adaptable, with the ability to support changing site and project demands.
  • Ability to work independently while also contributing effectively as part of a team.
